Kwalyti Tool Advanced Print Management:

  • Since implementing Advanced Print Management Kwalyti Tool creates digital quotes and sends 99% of them to customers via email.
  • Quotes sent via email can be viewed in real time while the customer is on the phone. Real time quote revision saves time.
  • The choice of creating a paperless or print document is now the decision of the recipient.              (No paper document at Kwalyti Tool).
  • Invoices are processed through APM and sent to customers by either email of fax. These exist only in digital format at Kwalyti Tool. Since most customers reference the parts list attached to the packing slip, invoices are mostly redundant documentation required by accounting departments before payment is made.
  • Orders are emailed only on request.
  • Postage and handling of these previously paper documents is eliminated.
  • Ten to fifteen percent of Kwalyti Tool’s purchase orders now go through APM. This percentage is slowly increasing.
  • Travelers contain notes and drawings which at this point require a paper document. However, when the job has been completed for parts going to inventory, the traveler with all its notes and drawings are scanned into APM
  • Packing slips are always printed and are either in the box or attached as a label.
  • Most drawings and many other reusable documents have been scanned to the APM index and are now in digital format which eliminates the need for storage and handling.
  • APM is used by accounts payable as a reminder file for late payments.
    • With the aging report open and APM open, accounting looks to see who is late and finds that invoice number and emails a new invoice with the statement
  • Kwalyti incorporated in 1990, and is currently in the process of digitizing all the old records and shredding the paper document.
    • As a machinery manufacturer, all records for all parts manufactured are kept on file forever. Documentation is critical since a machine that was rebuilt in 1990 can easily generate a liability claim years later.
    • Kwalyti needs records of compliance with machine guarding requirements so that when someone removes a safety cover and injures themselves on a machine Kwalyti Tool will not be found liable.
